IT Preparations for IPAC'17

IPAC'17 is expected to attract 1200 delegates, which situates the IT deployment in the big league.
Overview
- Room 5,6,7: Proceedings Office & Back-Office
- Room 16 & 17: Speaker Prep and Author Reception
- Room 18 & 19: Satellite Meeting Rooms
Auditoriums
Networks:
- Direct connection for presentation management.
Hardware:
- 2 Screens and corresponding number of projectors (ideally one for camera projection and 1 for PPTs)
- Remote control for presenter (micro-cue)
- Confidence monitor
- Video mixer
- Digital clock for presenter
- PA
- 4 Headsets
- 2 Wireless mics
- Stage light
- 2 Cameras (1 from the back of the room, 1 close-up of stage) and editing
- PiP Superwide projector
- Audio/video/light technician
Proceedings Office & Author Reception
- 2 Printer A4 postscript (not desktop type but heavy duty machinery, incl. copying)
- 2 TV-screen 48" on floor mount
- 29 Workstations or Laptops
- 32 High res monitors 27" (3 out of this are for Speaker Prep/room 17)
- 1 Conference Server
Speaker preparation:
- 5 identical Macs (3 will stay in PO and 2 for auditoriums)
- 5 identical PCs (3 will stay in PO and 2 for auditoriums)
The workstations need a spec of at least:
SSD and 8gb RAM, its CPU should be at least an i5.
Network and communications
2 Networks are needed, both should be DHCP enabled and have Internet access.
- Network 1: Only available in the PO (1st floor room 5, 6, 7 and 16/17)
- Network 2: Connects the Speaker Prep (Room 17) with A2/A3 and A15
Each computer will need a minimum of 2 power sockets, also an additional 2 should be available in the table for convenient access, e.g. for charging phones.
